Summary
SUMMARY OF POSITION

University of Health Sciences and Pharmacy in St. Louis (UHSP) is looking for a passionate professional to serve as our Athletic Admissions and Eligibility Coordinator. In this role, under the supervision of the Associate Director of Recruitment, you will be responsible for supporting the admissions for athletics recruitment activities as well as serving as the primary lead for athlete eligibility and academic success.

The admissions portion serves primarily around the operational support functions utilizing technology platforms, data movement, reporting and tracking. It will also function as admissions point of contact for athletic staff regarding admission questions, policies, and procedures. This position will be a main point of contact for athletics in the Admissions Office. Responsibilities will include assisting with CRM data entry/management, prospect management, data tracking, coordinating with staff to assist with athletic recruitment, and assisting athletics with admissions needs. This position will support both athletic coaching staff members and the Office of Admissions.

This role is additionally responsible for the academic certification of student athlete eligibility as well as addressing the academic needs of the student. This role will have an impact on the athlete's collegiate experience, retention, matriculation, and graduation rates.

This position will report to the Assistant Director Admissions Operations

SPECIFIC MAJOR DUTIES AND RESPONSIBILITIES
  • Collaborate with athletic staff to support data collection, entry, and management into the CRM. Manage data/sources to ensure accuracy.
  • Provide support to Athletics for admissions questions, processes, and procedures.
  • Coordinate with Athletics to communicate travel plans with Admissions. Strategize proactive outreach for travel area and follow-up strategies from Admissions.
  • Organize and lead individual prospective student tours or small group events for athletic teams and others as assigned.
  • Evaluates all recruitment activity and territory for effectiveness and makes recommendations to improve recruitment efficiency and conversion and yield rates.
  • Determine eligibility status by analyzing and evaluating student-athlete academic credentials in accordance with University, NAIA (National Association of Intercollegiate Athletics), and sport-specific conference rules. Prepare all eligibility certificates to be submitted to the NAIA.
  • Monitor academic eligibility and academic progress of all student athletes, by partnering with the student success advisors and faculty advisors to identify concerns and act as liaison between parties. Partner with various support departments to address student needs.
  • Interpret eligibility rules for student-athletes, parents, and campus community.
  • Assist student-athletes in understanding how to maintain their eligibility and assist them in assuming responsibility for their athletic academic eligibility through one-on-one and group meetings.
  • Meet with at-risk student-athletes regularly and develop academic improvement plans, in partnership with the student success advisors and faculty advisors.
  • Serve as a mentor and resource to student-athletes, and make appropriate referrals, as needed.
  • Other duties and projects as assigned.


Qualifications
KNOWLEDGE AND EXPERTISE

A. Education & Experience:
  • Minimum Qualifications
    • A bachelor's degree from an accredited institution of higher education
    • Strong technology skills, including Microsoft Excel
    • Experience working one-on-one with students or clients in a goal-focused and metrics driven position
    • Experience giving presentations to groups of various sizes, in person and virtually
    • Ability to travel, work nights/weekends, and possess a valid driver's license
  • Preferred Qualifications
    • At least one year of experience in admissions or student services in higher education
    • Collegiate athletic experience or experience in a collegiate athletics office
    • Management of a recruitment or sales territory using data to make decisions about targeted outreach efforts
    • Experience using a Customer Relations Management or Student Information system(s)
    • Experience working with diverse populations
    • Demonstrated experience networking and/or building professional relationships

B. Technical Skills/Abilities:
  • Ability to work independently and/or in a remote setting
  • Experience utilizing various technology platforms and integrating data
  • Ability to work as a team
  • Ability to analyze and evaluate data, and plan and execute actions to achieve goals
  • Demonstrated ability to manage data projects
  • Attention to detail
  • Basic office technology and communication skills
  • Valid driver's license required

C. Interpersonal Skills:
  • Have excellent written and oral communication and presentation skills, and able to explain abstract concepts effectively and utilize empathetic sales strategies
  • Must be able to work as part of a team as well as independently
  • Evidence of the ability to work successfully with college and university administrators.
  • Ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.
  • Sensitivity to issues related to recruitment and retention of a diverse student body are required.

PHYSICAL DEMANDS

Need to be able to type, and to get around physically enough to give tours of campus, host visit groups, etc. Requires extensive use of computer keyboards and display terminals. Must be able to sit and stand for prolonged periods of time. Should be able to reach, stoop and bend. Be able to lift 50 pounds to transport materials necessary. Must be able to work evenings, weekends, and travel.
